Our teams collect textual and related evidence and make it available to the public via an open access digital repository housed at the University of British Columbia (UBC).

As texts and other materials are collected, a robust set of metadata will be created for each item…. This … open access database will display photographs of manuscript and printed texts, serving as a unique virtual library for use by scholars, students and the public. The database will also preserve material brought together by our project. Scholars will be able to use this database to discover and trace connections between seemingly disparate geographical and temporal contexts that would have previously been impossible to discern. The collection as a whole, as well as particularly significant items contained within, will become the basis for scholarly symposia and subsequent publications. It will enhance interactions both among team members and with other research units around the globe.
-excerpt from proposal to SSHRC, Oct 2015
The repository is different from much of the material found online, through better
- Access (we might get access to material not already documented)
- Attention (scholars pay attention to things tourists do not)
- Accuracy (thorough description, in metadata produced by scholars)
- Systematic coverage, allowing users to see complete sets of things and put them in context and in relation to one another through documentation of whole sites
- Reusability, under open license terms
The project aims for high quality, however the above are more important than quality alone.
Data Collection
We have produced the following training videos to help our participants prepare for data collection in the field.
Here you will find documentation about the data collection process.
FROGBEAR Data Collection (wiki page)
This is the main document that outlines the general activities and considerations while collecting material in the field.
It contains links to Workflow Recommendations for Data Collection, Describing your Data (with particular attention to the Metadata – Description Field and Metadata – Title Field).
Additionally, for scholars responsible for uploading material to the repository, the wiki page includes links to Organizing Content for Upload and for Obtaining and Using an OwnCloud Account
Files
Metadata Template (Excel file)
Metadata Template – Chinese Version (Excel file)
This is the electronic document that must be submitted along with all material and permission forms. The material cannot be used if not completed properly.
For use in the field (to print hard copies):
Metadata_Template_Instructions
This contains the same information as the electronic version, and can be used as a cover sheet.
Printable Creator Metadata
Enter details about the person who is taking the picture/video/audio. There is space to list up to three people.
Printable Metadata
These can be used to write down data while in the field. Print several copies.
Forms
cIRcle License
Each person that takes a picture/video/audio is required to submit the form that allows the project to use that material. Cluster leaders will provide pre-filled forms for content creators to sign.
Frogbear_Consent to Disclosure of Personal Information
This form must be signed by each person who is identifiable in the material, including project participants. This is required by Canadian Privacy Law, and we are unable to use material if these are not submitted. Bilingual versions in other languages are below.
